ModMailBot is intended for users and servers in the United States. It is not directed to or marketed to individuals in the EU/EEA, the United Kingdom, or Switzerland, and is provided "as is" without any representation that it complies with the data-protection laws of those regions.
What we store
We follow data minimization. When ModMailBot is added to a Discord server, we store: server (guild) configuration — ticket types, role and channel IDs, permission tiers, panel text written by your administrators; ticket records — numeric IDs, status, and timestamps of who opened, closed, and archived a ticket (Discord user IDs); a block list of Discord user IDs set by your moderators; feature entitlements; and an audit log of administrative actions (action names and IDs — never message text).
What we never store
We do not store the content of any Discord message. We do not store intake-form answers — they are posted into your ticket channel and exist only there. Ticket transcripts created by archiving are uploaded to a channel in your own server and never touch our database. We do not log message content, form text, or files.
Feedback
If you use /feedback or /bugreport, the text you type — along with your Discord username, user ID, and server ID — is sent to our private support channel so our team can respond. It is not stored or logged by the bot. The form tells you this before you send.
Retention and deletion
If the bot is removed from your server, all of that server's data is permanently deleted after a 30-day grace period (so an accidental kick doesn't destroy your configuration). Server administrators can delete everything immediately with /data delete. Backups age out on a schedule of their own; deleted data leaves backups within 365 days.
Where it runs
ModMailBot runs on Cloudflare's infrastructure (hosting and a managed database). Discord delivers all interactions. See the subprocessor list. Data may be processed in the United States and other countries where these providers operate; where EU law applies, transfers rely on the providers' standard contractual clauses.
Your rights
Depending on where you live you may have rights to access, correct, or erase personal data (for this bot, that is essentially Discord IDs in ticket records). Server administrators can erase everything with /data delete; for individual requests, contact us at privacy@modmailbot.com.
Children
Discord requires users to be at least 13 (or older where local law says so). ModMailBot is not directed at children and stores no profile information.
Changes
We will post changes here with a new effective date. Material changes will be announced through the bot's release notes.
